Presenter Ingest

Privacy policy

Last updated: 20 October 2026

This policy explains how Derham Productions Ltd ("we", "us") handles personal data for Presenter Ingest at presenteringest.com. We're a company registered in England and Wales (company number 12548980), at Unit 5 - Pole Position, London Road, Bassets Pole, Sutton Coldfield, West Midlands B75 5SA. Contact us about privacy at hello@derhamproductions.com.

There are two kinds of people whose data the service handles:

  • Customers: the organisers who create an account and book seats. For their data, we are the controller.
  • Presenters: the people customers invite. Customers decide which presenters to add and what to enter about them, so for presenters' data the customer is the controller and we process it on the customer's behalf. If you're a presenter with a question about your data, please contact the organiser who sent you your link first; we'll help them answer it.

What we collect

Customers

  • Account details: name, username, email address and a securely hashed password.
  • Billing details you give us for VAT invoices: name, company, billing address, country and VAT or tax number, and for EU numbers the result of the VIES check.
  • Presenter contact details you set (organisation, contact name, help email and phone, invite message).
  • Bookings, payments and invoices: what you booked, when, how much you paid and the payment reference. We never see or store your card details; card payments are handled by Stripe, which also keeps your card if you turn on auto-renew.
  • Basic technical records, such as login times and our web server's logs (IP address, browser, pages requested).

People who use our contact form

  • Your name, email address, organisation (if you give it), the number of presenters (if you choose one) and your message. The form emails these to us; the website doesn't keep a copy.

Presenters (entered by the customer, or created when a presenter uses their link)

  • Name and email address, if the customer adds them, and the invite emails sent to them.
  • The seat's studio connection details (a vMix Call key, VDO.Ninja link, Jitsi meeting link, or WHIP address and token) and slide clicker details (a GlobalCue presenter ID, a Cliqer room link, or web addresses and a token for the customer's show control). These identify the customer's equipment, not the presenter.
  • When the presenter's page was last open, which we use to show the customer who's connected.
  • Basic technical records from our web server's logs.

The video and audio of a presenter's call does not pass through or get stored by us. The presenter page embeds the connection the customer chose (vMix Call, VDO.Ninja or Jitsi Meet), which connects the presenter's camera and microphone directly to the customer's studio; for a WHIP connection, the presenter's browser sends them straight to the customer's own WHIP server. The slide clicker sends your button presses through our server to GlobalCue, or as web requests to the customer's own show control, so that the IDs and addresses stay private; those requests carry only which button was pressed. If the organiser chooses GlobalCue's own presenter page or Cliqer instead, that page is embedded directly from GlobalCue or Cliqer, so your browser connects to them itself, and Cliqer receives the presenter name the customer entered for the seat.

Why we use it, and our legal basis

  • To provide the service you've booked: your account, bookings, presenter pages, invites, cues and invoices. Basis: performance of our contract with you.
  • To take payment and keep accounting records, including VAT invoices. Basis: legal obligation, and our contract with you.
  • To keep the service secure and working: server logs, limits on sending emails, preventing misuse. Basis: our legitimate interests in running a safe, reliable service.
  • To contact you about your bookings or changes to the service or these policies. Basis: our contract with you, and legitimate interests.
  • To answer messages sent through our contact form. Basis: our legitimate interests in replying to enquiries, or steps you've asked us to take before booking.

We don't sell personal data, use it for advertising, or send marketing without your consent.

Who we share it with

We use these service providers, who process data for us under contract:

  • IONOS (IONOS Cloud Ltd, Gloucester): hosting. The website and its data (accounts, bookings, invoices and server logs) are stored on servers in the United Kingdom provided by IONOS, which we manage ourselves.
  • Stripe (Stripe Payments Europe Ltd and Stripe, Inc.): card payments, and saved cards for auto-renew.
  • Microsoft: email (invites, invoices and messages are sent through Microsoft 365).
  • The European Commission's VIES service: if your billing address is in the EU, we send your VAT number to VIES to confirm it's valid. We keep the result with your invoice as evidence for not charging UK VAT.

The presenter page also loads services chosen by the customer: the studio connection - vMix Call (run by StudioCoast Pty Ltd), VDO.Ninja, Jitsi Meet (8x8 for Jitsi as a Service, or the customer's own server) or the customer's own WHIP server - the slide clicker (Interspace GlobalCue or Cliqer), and any Q&A tool (such as Slido) the customer links to. Those providers receive the presenter's connection data under their own privacy policies.

We may also share data where the law requires it, or with professional advisers (such as our accountants).

The website's own data stays in the UK. Some of the other providers above (such as Stripe and Microsoft) may process data outside the UK. Where they do, we rely on the safeguards UK data protection law requires, such as adequacy regulations or standard contractual clauses.

How long we keep it

  • Bookings: 12 months after the booking ends, so you can see past bookings. Unpaid or cancelled bookings, and payment attempts that didn't go through, are deleted after 30 days.
  • Presenter details on a booking (names, emails, invites, cues and connection times): deleted with the booking, or sooner if the customer removes them.
  • Accounts: deleted 12 months after your last activity once you have no bookings left.
  • Invoices and payment records: 6 years from the end of the financial year they relate to, as required for UK tax and company records.
  • Contact form messages: not stored on the website. The email lands in our mailbox, and we keep it for up to 2 years after our last reply unless it leads to a booking.
  • Logs: up to 90 days.

This happens automatically. You can also ask us to close your account at any time; we'll delete your data except what we have to keep by law.

Cookies

We only use cookies that are strictly necessary for the site to work: a session cookie that keeps you signed in and protects forms from misuse, and (if you tick "Remember me") a cookie that keeps you signed in for longer. We don't use analytics, advertising or tracking cookies, so we don't ask for cookie consent. Services embedded in the presenter page (such as vMix Call or a Q&A tool) may set their own cookies.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of your personal data;
  • correct it if it's wrong;
  • delete it, or restrict how we use it;
  • object to how we use it (where we rely on legitimate interests);
  • give it to you in a portable format.

Email hello@derhamproductions.com. We'll reply within one month. Much of your data can also be seen and changed in your account.

If you're unhappy with how we've handled your data, please tell us first. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk, 0303 123 1113.

Changes

We'll update this policy if what we do with personal data changes. The date at the top shows when it last changed; if a change affects you significantly, we'll tell you by email.
